How to keep cash payments organized.

To keep cash payments organized, log every payment on the client’s profile the moment you take it, check once a week who owes you, and close the month with a total kept separate from online payments.

Taking cash isn’t the problem; not knowing at the end of the month how much you took and who still owes you is.

The golden rule: log it right away

A payment that isn’t logged on the spot gets forgotten. Do it on your phone, right at the front desk: it takes two taps.

What to record for each payment

  • Who paid.
  • What they bought (drop-in, pack, month).
  • How much and how (cash, transfer, card terminal).
  • The date.

The in-person monthly plan

For clients who pay each month at the front desk: log it once and next month it shows up in “Who owes me” until you collect it.

Weekly check (5 minutes)

  1. Look at “Who owes me” Remind whoever is due, in person or with a message.
  2. Balance the till What’s logged versus what’s in the cash box.

Month-end close

When the month ends, the sales summary separates online payments from in-studio ones. That’s what your accountant needs.

FAQ

Do I have to issue invoices for cash payments?

It depends on your country and business type: ask your accountant. Corelia gives you the sales summary; invoicing is in development.
